Security First: How We Protect Your Data

Inside DigenioTech's data protection model — what we do, why it matters, and what you should demand from every agency you work with

The conversation about data security usually starts after something goes wrong.

A client discovers their CRM data was accessed without authorisation. A contractor exports a contact list to a personal device. A shared Google Sheet containing customer emails gets indexed by accident. These aren't hypothetical scenarios — they happen constantly, and in most cases they were entirely preventable.

At DigenioTech, security isn't a compliance checkbox or a line in a contract. It's an operational discipline built into every process, every tool, every handoff. This article explains exactly what that means — not in vague reassurances, but in concrete terms.

Why Data Security Is a Marketing Agency's Problem

Many B2B companies assume that security is primarily an IT department concern. But when you engage a marketing or AI agency, you're handing over some of your most sensitive commercial assets:

  • Customer contact data — names, emails, phone numbers, company associations
  • Revenue and pipeline data — deal sizes, conversion rates, customer lifetime value
  • Competitive intelligence — campaigns, messaging tests, market positioning
  • Behavioural analytics — how your audience thinks, what converts, what fails
  • Advertising account access — budgets, targeting parameters, creative libraries

In the wrong hands, any of these can damage your brand, skew your competitors' strategy, or expose you to GDPR and CCPA violations. The stakes are real, and they escalate the more your agency is integrated into your operations.

This is why we treat security as a client-facing commitment, not a back-office concern.

Our Data Protection Framework

1. Minimum Necessary Access

We operate on a principle borrowed from information security: access the least amount of data needed to do the job. This applies internally and externally.

When we connect to a client's Google Analytics account, we request read-only access unless we need to configure goals. When we work inside a CRM, we request access to the specific views required — not the full admin panel. When we receive exported data for analysis, we delete it as soon as the analysis is complete.

This isn't inconvenient — it's correct. The less data we hold, the less risk exists on both sides.

2. Encrypted Data at Rest and in Transit

All client data we process is encrypted. We do not store sensitive data in unencrypted flat files or shared drives. Where we work with databases or processing pipelines:

  • Data is encrypted at rest using AES-256 or equivalent
  • All transfers occur over TLS 1.2 or higher
  • API keys and credentials are stored in environment-variable management systems — never hardcoded, never in version control

For AI automation pipelines specifically, all data passed to language models is transmitted over encrypted channels, and we evaluate each provider's data retention policies before integrating them into a client workflow.

3. Credential Management

Shared passwords are a security anti-pattern. We do not use them.

Every member of the DigenioTech team who accesses client systems uses individual, role-scoped credentials. We use password management systems with audit logging. When a project ends, credentials are revoked — not just removed from a spreadsheet. Access termination is a formal step in every project offboarding checklist.

For clients who grant us access via OAuth (Google, Meta, LinkedIn ad platforms), we request only the scopes required and we log what those scopes are at onboarding. You can revoke access at any point without disrupting your own operations.

4. No Third-Party Data Sharing

Client data never leaves the authorised data processing environment without explicit written consent. We do not:

  • Share client analytics with other clients
  • Use client data to train proprietary models without a signed data processing agreement
  • Pass identifiable contact data to subcontractors without client approval

Where AI models are involved in content production or automation, we use providers who offer data isolation guarantees (no training on submitted data by default) or we implement anonymisation layers before data reaches any third-party model.

5. Incident Response Process

Despite best efforts, incidents can occur. Our incident response process is designed to minimise impact and maximise transparency:

  1. Detection — We monitor for anomalous access patterns across all client integrations
  2. Containment — Affected credentials are revoked and access points isolated within 30 minutes of confirmed incident
  3. Assessment — We determine what data was potentially affected and in what volume
  4. Notification — Clients are notified within 24 hours of any confirmed breach — well within GDPR's 72-hour requirement
  5. Remediation — Root cause is documented and process controls are updated to prevent recurrence

We do not bury incidents. We do not discover them six months later. Transparency is not optional.

Compliance: GDPR, CCPA, and Beyond

We work with clients in the UK, EU, and US markets. That means data protection law is not a single framework — it's a layered set of obligations that vary by jurisdiction.

GDPR (UK and EU)

For clients operating in the UK or EU, or targeting customers in those regions, GDPR applies. Key obligations we support:

  • Lawful basis documentation — We help clients document the legal basis for any marketing data processing
  • Data Subject Access Requests (DSARs) — We configure systems to support deletion and portability requests
  • Consent management — We integrate or audit cookie consent tools and ensure marketing lists are built on valid consent
  • Data Processing Agreements (DPAs) — We sign DPAs where required and can provide our own for signature where we act as a data processor

CCPA (California / US)

For clients with US customer bases (particularly California), CCPA compliance includes:

  • Right to opt out of data sale — We ensure no marketing infrastructure constitutes data sale without appropriate disclosures
  • Right to know and delete — We support implementation of consumer rights workflows
  • Data inventory — We help clients understand what personal data flows through their marketing stack

Sector-Specific Requirements

Healthcare, finance, and legal clients face additional obligations (HIPAA, FCA rules, SRA guidance). We assess sector-specific requirements at onboarding and build compliance into the workflow design — not as an afterthought.

What You Should Demand from Every Agency

The market is full of agencies that handle client data casually. A login shared over email. A spreadsheet of leads in a Dropbox folder. An intern with full admin rights to a production ad account.

These aren't edge cases — they're standard practice. Here's what you should ask every agency you work with:

1. How do you store our credentials?
The correct answer involves a credential management system with role-based access. "We use LastPass" with shared team passwords is not the correct answer.

2. Who specifically has access to our data?
You should receive a named list, not "our team." Role-scoping should be documented.

3. What happens to our data when the contract ends?
There should be a formal offboarding and data deletion process. If there isn't, your data is still sitting in their systems.

4. Have you ever had a data incident?
A credible agency will answer honestly, describe what happened, and explain what changed as a result. Zero incidents claimed by a large operation over many years is a warning sign, not a reassurance.

5. Do you sign a Data Processing Agreement?
If you're subject to GDPR, this is a legal requirement when you engage a processor. If an agency declines to sign one, that tells you everything you need to know.

Security in AI Automation Specifically

AI-powered workflows introduce new data security considerations that many companies haven't fully thought through yet.

When an AI automation pipeline processes customer data — reading emails, categorising support tickets, summarising call transcripts — that data is being passed to a computational process. The questions you need answered:

  • Where does the data go? Which model, which provider, which jurisdiction?
  • Is it stored? Some providers retain submitted data for model improvement unless explicitly opted out
  • Is it identifiable? Can the information be traced back to a specific individual?
  • What's the authorised use? Does your privacy policy cover AI processing of customer data?
